1. Who we are
Trans Modal Group (“TMG”, “we”, “us”) provides transport, warehousing, clearing and forwarding services across Southern Africa. This policy explains what personal information we collect through our operational systems, why we collect it, how we use it, and what rights you have.
We are the responsible party for this information under the Protection of Personal Information Act, 2013 (POPIA).
2. What this policy covers
This policy covers personal information collected through:
- Our website, transmodalgroup.co.za
- Our WhatsApp business number, used for operational communication with drivers, staff and suppliers
- Our internal fleet and compliance management system (“TMG Command Centre”)
- Email correspondence with our operations team
3. Information we collect

4. Why we collect it
We use this information to:
- Coordinate transport operations, including dispatch, routing and load planning
- Respond to vehicle breakdowns and arrange repairs, parts and roadside assistance
- Obtain and authorise quotations from suppliers
- Maintain records required for legal and regulatory compliance, including vehicle licensing, driver credentials and cross-border documentation
- Investigate incidents, damage and non-conformances
- Maintain an audit trail of operational decisions and approvals
- Communicate with drivers, staff, customers and suppliers
We do not sell personal information, and we do not use it for advertising.
5. Automated processing
Some operational messages sent to our WhatsApp business number are handled by an automated system that logs the report, asks follow-up questions, and routes the matter to the appropriate person. Messages are stored and are visible to authorised managers.
Decisions with financial or disciplinary consequences are made by a person, not by the automated system.
6. WhatsApp
We use the WhatsApp Business Platform, provided by Meta Platforms, Inc., to communicate with drivers, staff and suppliers. Messages sent to our business number are processed by Meta in accordance with its own terms and privacy policy, and are also stored in our systems as described above.
Do not send us information through WhatsApp that you would not want recorded. If you would prefer to communicate another way, contact us using the details in section 11.
7. Who we share it with
We share personal information only where necessary:
- With suppliers and service providers, where needed to arrange a repair, part or service (typically the vehicle, location and the nature of the fault)
- With our customers, where operationally necessary, such as delivery status
- With regulators, border authorities and law enforcement, where required by law
- With service providers who host or support our systems, under appropriate confidentiality obligations
Some of our service providers process data outside South Africa. Where that happens, we take reasonable steps to ensure comparable protection as required by POPIA.
8. How long we keep it
We keep operational and compliance records for as long as needed for the purpose collected, and thereafter for the period required by applicable law — including tax, employment, road transport and cross-border customs requirements. Records no longer required are deleted or de-identified.
9. How we protect it
Access to our systems is restricted to authorised users, controlled by role, and logged. Data is transmitted over encrypted connections and stored on access-controlled infrastructure. No system is perfectly secure, but we take reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access.
10. Your rights
Under POPIA you have the right to:
- Ask what personal information we hold about you
- Ask us to correct information that is inaccurate or incomplete
- Object to processing in certain circumstances
- Ask us to delete information we no longer have grounds to keep
- Complain to the Information Regulator of South Africa
To exercise any of these rights, contact us using the details below. We may need to verify your identity before acting on a request.
